A Referral Centralization Story
A multi-site medical group we support moved referral management from individual clinics into a centralized process.
Before the transition, each clinic handled referral follow-up a little differently. Local teams were already carrying full administrative workloads, and it was hard to see what was open, what had been followed up on, and who owned the next step.
Our role was to help document the local workflows, move referral work into shared queues, and keep tracking consistent as the group centralized the process.
Once the work had clearer ownership, the process became easier to follow. PCP referral turnaround went from 30 days to 7 days. Specialty referral turnaround went from 45 days to an average of 3 days.
For this story, turnaround time starts when an incoming referral is received. It ends when the patient schedules an appointment or when three follow-up attempts have been completed. That way, the measure reflects referral processing, not specialist availability.
