A Referral Centralization Story
A multi-site medical group across three states needed to improve a high-volume referral workflow.
Referral processing had been handled locally at individual clinics. The process looked different from site to site, follow-through was inconsistent, and visibility across the workflow was limited.
The issue was not simply the need for a new protocol. Local teams were already carrying a full administrative load, and the referral work needed clearer ownership.
Xillium supported the transition by building a dedicated virtual referral team with standardized workflows, centralized tracking, and defined administrative ownership. Instead of asking each clinic to keep chasing referrals on top of its existing responsibilities, the work moved to a specialized support team.
After the workflow was centralized, PCP referrals that had been taking up to 30 days were completed in 7 days. Specialty referrals moved from a 45-day process to an average of 3 days.
What changed was the structure around the work: one team owning the follow-through, one tracking process, and clearer visibility across sites.
The practical lesson was simple. The process became easier to manage once the day-to-day referral work had a consistent owner.
